Job Description


Responsibilities

  • Responsible for financial and human resource administration of the organisation.
  • Responsible for managing all aspects of accounting functions and processes for the organisation in order to meet the requirements and criteria of our funders.
  • Manage the delivery of accurate and timely financial information and reports to the Manager and Board of Directors.
  • Assist with the maintenance and development of human resource policies and procedures, including the development and maintenance of the personnel filing system and timesheet/holiday management.
  • Work with Easi Cab Call Centre Staff to coordinate Easi Cab invoicing and lodgements.
  • Provide additional support for Programme Manager.

Job Brief

We are seeking a competent Administrator for all aspects of administration of the organisation. Under the direction of the Manager, the Administrator’s responsibilities will include bookkeeping, human resources and the administration systems of Easi Access Transport CLG. Duties will include the maintenance and development of human resource policies and procedures as required. The Administrator will also have the responsibility of financial systems for the organisation. In addition, general administration will be required with relation to administration systems and ensuring telephone and written enquiries are responded to in a timely manner and in an appropriate way.

An excellent administrator must be reliable and have a great eye for detail, skilled in time management, critical thinking, communicating and listening. The ideal candidate will have at least 2 years’ experience in administration, in bookkeeping and using Sage for invoicing and salaries, and preferably within the voluntary sector. Qualifications should be in business and administration.

Job Function

  • Maintain personnel records for each team member, ensuring data protection and confidentiality in relation to such records, as well as maintain staff leave records.
  • Oversee distribution of incoming and outgoing mail.
  • Oversee the provision of an efficient communication and telephone service to include, answering telephone and emails.
  • Assist with the maintenance and development of human resource policies and procedures as required.
  • Preparation and production of monthly management accounts to Trial Balance.
  • Weekly Payroll including all returns to Revenue via ROS, issuing P45s, P60s, etc.
  • Assist with the financial reports for statutory funders, including Pobal.
  • Maintain ledgers with regard to all aspects of the accounts payable and accounts receivable functions.
  • Banking – Point of contact on all company accounts, Bank Reconciliations, Lodgements, and Online Business Banking.
  • Oversee Petty Cash Control and lodgments.
  • Accounting Procedures – Insure that accounts are completed in line with International Accounting Standards and maintain internal financial policies.
  • Ensure Companies Registration Office Returns are filed online – B10, B1 etc.
  • Prepare financial reports for the Manager to present at Board Meetings.
  • Provide additional support for the Manager

Requirements

  • The ideal candidate will have at least 2 years’ experience in administration and bookkeeping, preferably in the voluntary sector; and dealing with statutory funders and financial returns would be an advantage.
  • Knowledge base and experience of administration, finance, human resources and related functions.
  • Good working knowledge of employment legislation within Ireland.
  • Confident and proficient user of MS Office, Google, Excel, and Sage accounting software.
  • Experience filing returns to Department of Revenue via ROS and issuing P45s, P60s, etc.
  • Experience of establishing strong working relationships with colleagues from different functions.
  • Appreciates and understands the need for confidentiality in dealing with all HR issues.
  • Attention to detail and ability to meet deadlines while demonstrating excellent customer service skills.
